Jaarlijkse oproep aanvullen publicaties 2025 en gepubliceerde datasets in Biblio / Annual call to register publications 2025 and published datasets in Biblio

We nodigen je uit om je wetenschappelijke publicaties van publicatiejaar 2025, en eventuele bijhorende gepubliceerde datasets, aan te vullen in de academische bibliografie Biblio. Gelieve daarbij volgende deadlines in acht te nemen met het oog op de aanleveringen voor de BOF-sleutel:

15 maart 2026 is de deadline voor invoer van publicaties 2024-2025 die in aanmerking komen voor het Vlaams Academisch Bibliografisch Bestand voor de Sociale en Humane Wetenschappen (VABB-SHW). Artikels die verschijnen in de Emerging Sources Citations Index (ESCI) van Web of Science zijn geen A1 maar kunnen wel voor VABB in aanmerking komen als A2.
1 juli 2026 is de deadline voor alle (overige) publicaties van 2024-2025.
Deadlines voor rapportering aan FWO ontvang je via FWO. Registreer gepeerreviewde tijdschriftartikels tijdig in Biblio zodat ze automatisch doorstromen naar FWO.

Hou bij het invoeren van je gepubliceerde onderzoeksoutput in Biblio zeker ook rekening met de volgende acties die vereist zijn door het UGent-beleid rond wetenschappelijk publiceren en de FWO-rapporteringsverplichtingen:

Open access voorzien: deponeer een na peer review geaccepteerde versie (author’s accepted manuscript of AAM) van wetenschappelijke tijdschriftartikels als je geen rechtstreeks in open access gepubliceerde versie (Version of Record of VoR) kan deponeren. Deze AAM-versie wordt na embargo opengesteld, tenzij je expliciet om een opt-out verzoekt.
Gepubliceerde onderzoeksdatasets: registreer ook je datasets die gepubliceerd zijn in een data repository (verplicht voor datasets die geassocieerd zijn aan publicaties vanaf publicatiejaar 2023).
FWO rapportering: koppel je publicaties en datasets in Biblio aan het bijhorende FWO-project, geregistreerd in GISMO, om te voldoen aan de rapporteringsverplichtingen voor onderzoeksresultaten voortkomend uit minstens gedeeltelijk met FWO-middelen gefinancierd onderzoek, en om doorstroming van gepubliceerde, gepeerreviewde tijdschriftartikels via FRIS naar het FWO-rapport toe te laten.
Door het verstrengde rapporteringsbeleid van FWO kan bij een “onvoldoende” evaluatie van het rapport geen toekomstige financiering aangevraagd worden (eindverslagen) of wordt de huidige financiering stopgezet (tussentijdse verslagen). Het niet naleven van de open access-vereiste voor publicaties levert een “onvoldoende” evaluatie op.
Ook voor andere onderzoeksfondsen is het aangewezen om publicaties en datasets in Biblio te linken aan de bijhorende onderzoeksprojecten.

Extra ondersteuning

De eerste maanden van 2026 wordt op elke campus van UGent een Biblio-training georganiseerd, bestaande uit verschillende thematische sessies, waaronder een sessie specifiek voor FWO-rapportering van publicaties via Biblio. Je kan je registreren voor de hele training of ervoor kiezen de aparte delen bij te wonen.

We invite you to complete your scholarly publications of publication year 2025, and any associated published datasets, in the academic bibliography Biblio. In doing so, please observe the following deadlines in view of the submissions for the BOF key:

15 March 2026 is the deadline for registration of publications 2024-2025 eligible for the Vlaams Academisch Bibliografisch Bestand for the Social Sciences and Humanities (VABB-SHW). Articles accepted in Web of Science's Emerging Sources Citations Index (ESCI) are not A1, but may be eligible for VABB as A2.
1 July 2026 is the deadline for all (other) publications of 2024-2025.
Deadlines for FWO reporting are communicated by FWO. Register peer-reviewed journals articles timely in Biblio to allow them to flow automatically to FWO.

When registering your published research output in Biblio, it is advised to also take into account the following actions mandated by the Ghent University policy on scholarly publishing and the reporting requirements of FWO:

Open Access to publications: Deposit a peer-reviewed accepted version (author's accepted manuscript or AAM) of scholarly journal articles if you cannot deposit a version published directly in open access (Version of Record or VoR). After an embargo period, this AAM version will be made available in Open Access by Ghent University, unless you explicitly request an opt-out.
Published research data: Also register your datasets that have been published in a data repository (mandatory for datasets underlying publications from publication year 2023 onwards).
FWO reporting: Link your publications and datasets in Biblio to the corresponding FWO project, registered in GISMO, to comply with the reporting requirements for research results resulting from research funded at least partly with FWO funds, and to allow the flow of published, peer-reviewed journal articles via FRIS to the FWO report.

Due to the stricter reporting policy of FWO, an “insufficient” evaluation can block future funding requests (final reports) or lead to a discontinuation of current funding (interim reports). Failure to comply with the open access requirement for publications will result in an “ insufficient” evaluation.

For other research funds, it is also advisable to link publications and datasets in Biblio to the corresponding research projects.

Extra support

In the first few months of 2026, a Biblio training course will be organised on every Ghent University campus, consisting of various thematic sessions, including a session on FWO reporting of publications via Biblio specifically. You can register for the entire training course or choose to attend separate thematic sessions.
